Topic > Project Lifecycle: Closing a Project - 724

Although it occurs at the end of the project lifecycle, closing a project is an equally important step in managing a project. In the final phase, the project manager has the opportunity to schedule a formal completion or teardown meeting with the client, the project team, and the project sponsor. “The purpose of the meeting is to review the final acceptance document and obtain final approval that the project is complete and the objectives have been achieved” (Mastering-projectmanagement.com, 2014). This phase also includes celebrating the success of the project, identifying and planning any follow-up activities, and reflecting on lessons learned to apply to future projects. Other activities, such as budgetary checks, collecting and archiving all documentation, and creating a final report that includes a lessons learned document, all take place in the closure phase of the project (Darnall & Preston, 2010 ). The six-week systems upgrade project at Royal Tires was a success. The client accepted the results with pleasure and praised the project team for completing the project on time with excess budget. After some trial runs of the new system, as indicated by the work breakdown structure, as project manager I drafted a formal request for a letter of acceptance to the project sponsor and client indicating that the project had been completed. After the letter was accepted, I presented the project closure documentation to the client. The project contract manager then began to collect and review all contact documentation to ensure that all obligations had been met by both parties. As the terms of the contract stipulated that payment would be made on delivery, a letter requesting payment was sent to the customer. To attach...... to the middle of the sheet ....../or to the planning that occurred during the project? What did you learn from this? How were project resources and project schedule estimated? How were these documented and communicated to project stakeholders” (CA.gov)? The answers to these questions provide valuable lessons that will be used as a model to develop future similar projects. After the lessons learned session, I created a Post Implementation Evaluation Report (PIER) containing the project summary and submitted it for storage. Finally, after all business aspects of project closure were completed, the team hosted an event to celebrate the project's success. We also took this opportunity to recognize the specific group and individual efforts that contributed to the overall success of the project. Sincere thanks were extended to the customer for the successful business partnership.
